6. IN-HOUSE MAINTENANCE

  • Maintenance can be performed by the operator’s own workshop rather than an outside contractor.

6.1 ADVANTAGES AND DISADVANTAGES

  • Advantages: closer control and flexibility; consistent standards; tighter cost control; better short-notice repair availability; own decisions on parts replacement.
  • Further advantages: no travel/time to an outside supplier; potentially lower costs because no external provider profit is paid; the workshop may become a profit centre.
  • Disadvantages: space/facilities are required; space could otherwise support other profit-making activity.
  • Disadvantages: increased capital outlay and overheads, specialist diagnostics/tools, extra staff recruitment/retention/training, and health, safety and legislative controls.

6.2 EQUIPMENT

  • Whether maintenance is in-house or contracted out, suitable premises/facilities, qualified staff and appropriate tools/equipment are required.
  • Typical in-house resources: undercover accommodation for the largest vehicle, suitable tools, hoists/pits, adequate lighting, a roller brake tester, headlamp alignment equipment and steam-cleaning facilities.

6.3 ORGANISATION AND PLANNING

  • Maintenance planning should be done well in advance so quality is maintained without harming operations.
  • Planning may use a wall chart or computer software.
  • Plans should cover inspection and servicing dates at least 6 months ahead.
  • Integrate annual test dates with servicing/inspection to avoid unnecessary duplication.
  • Review and update plans regularly and act on deviations.
  • Use a clear coding system to show programme components and progress.

6.4 CHANGES TO MAINTENANCE ARRANGEMENTS

  • Inspection intervals may be reduced without notification.
  • If increased beyond the interval specified on the operator licence, notify the Traffic Commissioner as soon as possible and within 28 days.
  • The same notification requirement applies when changing the maintenance provider.
